Keeping your OTJ up to date is a really important part of your apprenticeship. This guide shows you how to log your training, check your progress, and make sure you are staying on track.

In this guide, you’ll learn what OTJ is, how to log a new OTJ record, how to check your completed and remaining hours, and how to review, edit, or delete entries if needed.
💡 What is OTJ?
Off-the-job training is an essential part of your apprenticeship. It shows that you are learning new knowledge, skills and behaviours and applying them in your role.

📝 How to log a new OTJ record
Step 1: Open the OTJ section from the left-hand menu and expand it.
Step 2: Click Log Off-the-Job to open the entry form.
Step 3: Enter the date the activity took place.
Step 4: Select the activity type (lesson, workshop, mentoring, etc.).
Step 5: Add the number of hours spent on the activity.
Step 6: Describe what you did.
Step 7: Link it to your apprenticeship criteria (KSBs or assessment criteria).
Step 8: Explain what you learned.
Step 9: Explain how you applied the learning in your role.
Step 10: Click Save to store your record.
📊 How to check your OTJ record
Step 11: Go to OTJ Record from the left-hand menu.
Step 12: Review your planned, completed, and remaining hours.
Step 13: Check your monthly progress to ensure you are on track.
Step 14: Click into a month to view detailed entries.
Step 15: Use the eye icon to view full details of a record.
Step 16: Edit a record if needed to improve or correct it.
Step 17: Delete any incorrect entries if required.
